Education Requirements

Job Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate logistics
  • Screen, prioritize, and respond to emails and calls on behalf of the CEO
  • Prepare presentations, reports, and briefing materials
  • Arrange travel (flights, accommodations, itineraries) and manage expense reporting
  • Coordinate personal and professional errands as needed

  • Assist with special projects, event planning, and on-boarding/off-boarding tasks

Job Description

Multinational Shipping Co., Ltd. is seeking an experienced and discreet Personal Secretary to provide high-level administrative and executive support to the CEO. This job opportunity in Bangladesh is ideal for a proactive, highly organized professional who can manage complex calendars, communications, travel and a range of personal and business errands with the utmost confidentiality. About the role: Serve as the principal point of contact for the CEO, managing day-to-day schedules, meetings and priorities. Handle written and verbal communications on behalf of the CEO, including screening and prioritizing emails and calls. Coordinate complex travel arrangements (domestic and international), prepare itineraries and manage expense reporting. Draft, proofread and prepare presentations, reports and briefing notes to support decision making. Maintain confidential files and sensitive information with discretion and integrity. Support onboarding/off-boarding tasks, special projects and internal/external liaison activities. Key responsibilities (expanded): Calendar management: proactively schedule, re-schedule and confirm meetings; anticipate conflicts and propose solutions. Communication handling: screen calls and emails, draft responses and prioritize items requiring the CEO’s attention. Travel & logistics: book flights and accommodation, prepare travel packs and manage travel-related reimbursements. Document preparation: create and format presentations, reports, and confidential briefings. Event & meeting support: coordinate meeting logistics, prepare agendas and follow up on action items. Confidentiality: handle personal and business matters discreetly and professionally. Required skills & qualifications: Bachelor of Business Administration (BBA) or Master of Business Administration (MBA) preferred; graduates from North South University, BRAC University, University of Dhaka or Independent University will get preference. Minimum 3 years of relevant experience as a secretary, executive assistant or personal assistant (experience in banks, shipping, freight forwarding, garments, airline or investment banking is desirable). Excellent written and spoken English; strong communication and interpersonal skills. Proficiency with Microsoft Office/Google Workspace, calendar and email management tools. Exceptional organizational, time-management and multitasking ability; strong attention to detail. High level of discretion, integrity and confidentiality when dealing with sensitive matters.
