Answer incoming telephone calls and respond to WhatsApp messages, emails, and other electronic communications promptly. Maintain accurate visitor records and manage client appointment schedules. Provide basic information about services and forward detailed queries to the appropriate departments. Keep the reception area clean, organized, and welcoming for patients and visitors. Support administrative tasks such as document handling, printing, filing, and record keeping. Maintain regular communication with internal departments to ensure timely responses and client follow-ups. Handle client follow-ups to ensure queries are resolved and that service expectations are met. Detailed responsibilities (expanded): Act as the first point of contact for clients arriving at the facility; ensure a courteous and efficient greeting and check-in process. Manage multi-channel communication (phone, WhatsApp, email, messaging apps) and triage incoming inquiries to the correct teams while maintaining clear logs of all contacts. Maintain appointment calendars, remind clients of upcoming appointments when required, and reschedule or escalate no-shows or cancellations according to company policy. Assist with light administrative duties—preparing documents, scanning and printing patient forms, filing records, and ensuring confidentiality and security of client information. Coordinate with clinical and administrative teams for smooth patient flow, ensuring that patient needs are identified and forwarded to the correct person or department. Support basic billing inquiries and direct complex financial questions to the billing or accounts team as per company protocol. Required skills and qualifications: Education: Bachelor/Honors preferred; Higher Secondary will also be considered. (As listed in the company circular.) Experience: At least 1 year of relevant experience. Experience in e-commerce or a healthcare startup environment is a plus.
