Job Responsibilities

  • Oversee day-to-day office operations and facility management (space planning, renovation, security, utilities, equipment maintenance).
  • Assign, schedule and track daily, weekly, and monthly tasks for all departments via CRM/Google Sheets.
  • Support client communication, inquiries, and appointment scheduling when needed.
  • Execute senior-management operational plans and directives and ensure department-wide alignment.
  • Motivate, mentor and guide employees; generate employee KPI and team performance reports.
  • Prepare daily, monthly and yearly financial statements and reports; assist with invoice processing and petty cash management.
  • Analyze expenses, recommend cost-saving measures and perform monthly internal audits.
  • Assist in preparation of property documentation, agreements and compliance paperwork.
  • Prepare and issue office notes, memos, office orders, letters and circulars related to HR & admin.
  • Maintain and update records like leave, attendance, personal files and HR MIS.
  • Implement and assist performance management systems and job confirmation evaluations.
  • Organize recruitment: prepare job descriptions, post ads, screen applications, schedule interviews and onboard new hires.
  • Handle resignation process, exit interviews and clearance documentation.
  • Arrange monthly meetings, prepare agendas and circulate minutes.
  • Ensure office cleanliness and supervise project support staff.
  • Manage employee database and personnel filing.
  • Carry out any other tasks assigned by management.
