Job Responsibilities
- Establish M&E system for Unity in Action Phase III in line with organizational policies.
- Authorize verification via participant-identification to ensure valid enrolment.
- Prepare and develop all types of data collection tools in Kobo format.
- Ensure routine real-time monitoring and validate routine data.
- Ensure data quality as per M&E Plan, data flow map and standards.
- Produce regular process monitoring and periodic performance reports.
- Perform trend analysis to support evidence-based decision making.
- Support Project Coordinator in report review and development.
- Undertake regular field visits for process monitoring and provide feedback.
- Support baseline, mid-term, final evaluations, assessments and studies.
- Ensure participant accountability and feedback-response mechanisms.
- Manage Unity in Action MIS and ensure timely data entry.
- Analyze project data and share progress with project team.
- Identify and document case stories, lessons learned and good practices.
- Conduct training and capacity development for staff on M&E, MIS and data collection.

Overview:PROTTYASHI (PROTTYASH) invites qualified candidates to apply for the position of Monitoring & Documentation Officer for the Unity in Action Phase III project implemented in Rohingya camps and surrounding host communities in Cox's Bazar. The Monitoring & Documentation Officer will help establish M&E systems, maintain data quality, produce reports, and contribute to organizational learning. The successful candidate will play a key role in ensuring that program interventions are effective and responsive to participant needs across host and Rohingya communities.Key responsibilities:Establish and maintain a robust M&E system for the Unity in Action Phase III project in line with PROTTYASH policies and donor requirements.Authorize and verify participant-identification and enrolment processes to ensure valid and accurate registration of beneficiaries.Design and prepare all data collection tools in Kobo format (questionnaires, checklists, templates) and finalize participant lists using vulnerability scoring.Ensure routine, real-time monitoring and validation of routine data; maintain data quality as per the M&E Plan and data flow map.Produce regular process monitoring reports and periodic performance monitoring reports to inform program management.Conduct trend analysis based on monitoring data to support evidence-based decision making by the program team.Support the Project Coordinator in review and development of donor and project reports.Undertake regular field visits for process monitoring and provide constructive feedback to improve implementation and program quality.Support baseline, mid-term, final evaluations, assessments, studies, research and periodic data quality assessments.Ensure participant accountability and feedback-response mechanisms are established and functional; analyze feedback and ensure appropriate responses.Manage the Unity in Action MIS and ensure timely and accurate data entry according to the Data Flow Diagram.Document case stories, lessons learned and good practices; develop high quality documentation and success stories for internal and external use.Conduct training and continuous capacity development for project and frontline staff on M&E, MIS and quality data collection.Prepare and submit weekly progress reports, 5W reports and event reports; prepare participant lists, attendance and muster rolls as per donor requirements.Required education & skills:Education: Bachelor/Honors degree; graduation in any discipline from a reputed university, preferably in Statistics, MIS, Economics or related fields.Technical skills: Strong knowledge of M&E methodologies, experience with KoboToolbox and MIS platforms, data quality assurance, quantitative and qualitative analysis, and report writing.Other skills: Proficiency in English for report writing; photography skills for documentation; facilitation and mobilization skills for working with participants in camps and host communities; strong communication and interpersonal skills.Attributes: Commitment to safeguarding, PSEA, child protection and organizational code of conduct; ability to work in field conditions and travel regularly.Experience: Not explicitly specified in the circular, but practical experience in monitoring, MIS and humanitarian program monitoring is highly desirable.
