Education Requirements

Bachelor of Commerce (BCom) in Finance and Accounts, Management or in any relevant discipline.

Job Responsibilities

  • Maintain daily financial reporting using Accounting Software Package.
  • Preparation of bank vouchers, petty cash vouchers and maintenance of petty cash register.
  • Writing of checks and maintenance of check books; maintain bank register and cash book.
  • Prepare timesheet and honoraria register in consultation with Clinic Manager and submit to bank with instructions.
  • Ensure payments are made after fulfilling required formalities and ensure safe custody of cash and check books.
  • Collect and reconcile bank statements as and when required.
  • Reimburse travel expenses and per diem bills to project staff.
  • Maintain stock of contraceptives and other clinic/office supplies; maintain stock of medicines procured under Revolving Drug Fund.
  • Maintain both consumable and fixed asset registers; operate Health Care Mart if present.
  • Responsible for day-to-day dispensing of medicine at Vital / Ultra clinics where applicable.
  • Arrange procurement as per decision of Clinic Manager and within budget provision.
  • Maintain Human Resource Management Manual and personal files and records for clinic staff.
  • Assist Clinic Manager in preparing required reports and documentation; record correspondence and maintain staff movement, leave and attendance registers.
  • Prepare MOU letters with on-call or part-time staff.

Required Skills

  • Proficient computer operations: MS Office, internet browsing, MS Teams, MS SharePoint.
  • Experience with accounting software packages and basic bookkeeping.
  • Good time management and self-motivation.
  • Ability to work under pressure and independently with minimal supervision.
  • Sensitivity to cultural differences and understanding of ethical issues.
  • Previous experience in NGO, hospital, diagnostic centre or clinic preferred.

Role overview: The Officer, Accounts and Admin will ensure smooth clinic functioning, financial management and reporting, procurement and stock control, and day-to-day administrative processes. This position is contractual and will operate in clinic locations across Bangladesh. The role is ideal for candidates who are organized, responsible, and familiar with accounting software, clinic operations and basic procurement and stock maintenance. Key responsibilities (summary): Maintain daily financial reporting using accounting software and prepare bank vouchers, petty cash vouchers and related records. Write checks, maintain checkbooks, bank registers, cash books and reconcile bank statements when required. Reimburse travel expenses and per diem for project staff; ensure payments are performed following required formalities and documentation. Maintain procurements and stock: collect contraceptives and logistics from Thana/Upazila offices, maintain consumable and fixed asset registers, maintain medicine stock under the Revolving Drug Fund. Support operation of Health Care Mart and day-to-day dispensing of medicines in clinics where applicable. Handle administrative duties, maintain human resource files and registers, attendance and leave records, staff movement registers, and assist the Clinic Manager with reports and documentation.
