PINOY TRAVELS is hiring an experienced and detail-oriented Administrative Officer to support embassy submissions, client communications, and executive assistance. This job posting is ideal for candidates who want to contribute to a trusted travel company and build experience in administrative operations related to embassies.Key responsibilities (primary duties):Manage all administrative tasks related to embassy submissions, including checking, preparing and compiling files and documents for visa and consular processes.Draft and send professional emails, formal reports and official letters to embassies, partners and clients.Answer calls on behalf of the CEO, take messages, and manage the CEO’s daily schedule and appointments.Handle client inquiries regarding travel documentation, booking follow-ups and general information; provide timely and courteous responses.Maintain accurate filing systems (both electronic and physical), track deadlines for submissions, and ensure documents are compliant with embassy requirements.Coordinate internally with team members and external stakeholders to ensure smooth processing of required paperwork.Required skills and competencies:Fluent in reading and writing English; strong written communication for producing professional letters and emails.Excellent organizational skills with strong attention to detail and accuracy.Ability to manage CEO communications and calendars; discretion and confidentiality are essential.Customer service orientation — ability to deal with clients politely and professionally.Familiarity with travel agency operations and embassy/consular submission processes is an advantage (experience in Travel Agent business preferred).Proficiency with standard office tools (email, MS Office) and basic document formatting.Experience and education:Minimum 2 years of relevant work experience, preferably in a travel agent or travel documentation context.Bachelor/Honors degree — graduate from any discipline.Other requirements and working conditions:Willingness to work closely with the CEO and to put in long hours when required.High level of reliability and ability to multitask in a fast-paced office environment.Gender: Both male and female candidates are eligible.Location and workplace: Dhaka (Gulshan 1, Gulshan 2, Paltan) — work at office.Salary & benefits: Monthly salary advertised as Tk. 25,000 (with reported range up to Tk. 32,500).
